1. Who We Are & What This Policy Covers
This Privacy Policy describes how Kenwood Solutions Group, LLC ("KSG", "we", "us") collects, uses, and shares personal information when you use the kenwoodsolutions.com website and the products and services we operate, including CivicHub360 (civichub360.ai / civichub.ai), YourEventsHub (youreventshub.ai, including MyHometown.events), GrantsOS, The Production Hub / RFS, SearchMedia.ai, DigiRhino, PollinatorStudio.ai, Newscaster (newscastor.ai), Local Frontline, KSG-published Alexa skills, and related offerings (collectively, the "Services").
Certain affiliated products — for example, Frost Shop Marketplace, operated by Ignite Space, Inc. — are provided by separate legal entities. Where an affiliated product links to this Policy, that entity adopts this Policy for its service. Individual Services may provide supplemental privacy notices for specific features; those notices control for that feature.
2. Information We Collect
- Information you provide: name, email address, phone number, organization, account credentials, profile details, event registrations, vendor or grant applications, content you upload, support requests, and messages you send us (including contact-form submissions).
- Payment information: processed by third-party payment processors (such as Stripe). KSG receives transaction records (amount, date, last four digits, status) but does not store full payment card numbers.
- SMS opt-in data: mobile number and consent records, governed by our SMS Program Terms & Opt-In Policy.
- Automatically collected information: IP address, device and browser type, pages viewed, referring pages, and interactions with the Services, collected via server logs, cookies, and similar technologies (including analytics provided by our website platform, HubSpot).
- Information from third parties: such as sign-in providers you choose (e.g., Google Sign-In), public and government data sources (e.g., grant listings), and organizations that register you for a program or event.
3. How We Use Information
We use personal information to: provide, operate, secure, and improve the Services; create and manage accounts; process transactions; send service communications (confirmations, reminders, security alerts, and messages you have requested); respond to inquiries and provide support; personalize content such as event and directory listings; analyze usage to improve features; enforce our Terms of Service; and comply with legal obligations. Where we send marketing communications, you can opt out at any time via the unsubscribe link or by contacting us.
4. How We Share Information
We do not sell personal information. We share it only:
- With service providers that process data on our behalf under confidentiality obligations — for example, cloud hosting and infrastructure (Amazon Web Services, Supabase, Vercel), payment processing (Stripe), email and messaging delivery, website and CRM (HubSpot), and analytics providers.
- Within the Services as you direct — for example, when you publish an event listing, a community post, or a vendor profile that is designed to be visible to others.
- With affiliated entities that operate Services under Section 1, for the purposes described in this Policy.
- For legal reasons — to comply with law, enforce our terms, or protect the rights, safety, and property of KSG, our users, or the public.
- In a business transfer — if KSG or a Service is involved in a merger, acquisition, or asset sale, personal information may transfer subject to this Policy.
Text messaging: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with, or sold to, any third parties.
5. Cookies & Analytics
We use cookies and similar technologies for site functionality, remembering preferences, and understanding how the Services are used. Our website platform (HubSpot) sets analytics cookies subject to your consent choices where required. You can control cookies through your browser settings; disabling cookies may limit some features.
6. Data Retention
We keep personal information for as long as needed to provide the Services, comply with legal obligations (including tax and accounting requirements), resolve disputes, and enforce agreements. Consent records for SMS programs are retained to document compliance. When information is no longer needed, we delete or de-identify it.
7. Security
We use administrative, technical, and physical safeguards appropriate to the nature of the data, including encryption in transit, access controls, and least-privilege practices. No system is perfectly secure; please use a strong, unique password and notify us of any suspected unauthorized access.
8. Your Choices & Rights
You may access, correct, or delete your account information through the applicable Service or by contacting us at xav@kenwoodsolutions.com. We will respond to verified requests within a reasonable time. You may opt out of marketing email via the unsubscribe link, and out of SMS by replying STOP.
California residents: We extend the following to California residents regardless of statutory thresholds: the right to know the categories of personal information we collect and how it is used and shared (described in this Policy); the right to request access to or deletion of your personal information; and the right not to receive discriminatory treatment for exercising these rights. We do not sell or "share" personal information as those terms are defined in the CCPA/CPRA.
9. Children
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. Where a Service supports school, youth, or community programs involving minors, participation must be arranged and consented to by a parent, guardian, or sponsoring organization. If you believe a child has provided us personal information without consent, contact us and we will delete it.
10. International Users
The Services are operated from the United States, and information is processed and stored in the United States. If you use the Services from outside the U.S., you understand that your information will be transferred to and processed in the U.S., where data protection laws may differ from those in your jurisdiction.
11. Changes to This Policy
We may update this Policy from time to time. Material changes will be posted on this page with an updated effective date, and where appropriate we will provide additional notice (such as email or in-product notice).
